Character Reference Letter Template: Examples for Job, Landlord, School & More

Someone has just asked you to write a character reference letter — and they need it by Friday. Or you are the one who needs a letter, and have no idea what to ask your referee to write.

A character reference letter is a short letter from someone who knows you well, vouching for your honesty, reliability and behaviour — used by employers, landlords, schools and immigration officers.

Most pages give you one generic template. But a letter that works for a job sounds wrong to a landlord, and one that works for a landlord sounds too casual for an immigration officer. Below are four copy-paste templates, one for each situation, each with a short worked example.

Which Template Do You Need?

What to Include in Every Character Reference Letter

Keep the letter to one page — around 250 to 350 words. Every good reference has five parts:

1. Who you are. Your name, role, and how long you have known the person.

2. One or two specific qualities. Pick what matters here, name it, then prove it.

3. A concrete example. General praise is forgettable; one specific, checkable story convinces.

4. A clear recommendation. Say it plainly: "I recommend him without reservation."

5. Your contact details. Full name, phone number and email — a reference without them looks anonymous.

Template 1: Character Reference Letter for a Job

For a school leaver, career changer, or someone returning to work.

[Your Name] | [Address] | [Phone] | [Email]

[Date]

Dear Hiring Manager,

I recommend [Full Name] for the [Job Title] position at [Company Name]. I have known [First Name] for [number] years as [your relationship]. [First Name]'s reliability and work ethic stand out. [One specific example.] [First Name] is honest and calm under pressure. I recommend [him/her] without reservation.

Sincerely, [Your Full Name]

Worked example: job reference

Dear Hiring Manager,

I recommend Daniel Okafor for a warehouse associate role at Northgate Logistics. I have known Daniel for four years as his neighbour and fellow volunteer. He has volunteered every Saturday for two years, and once ran the session alone when our coordinator was ill. I recommend him without reservation.

Sincerely, Margaret Ellis

Template 2: Character Reference Letter for a Landlord

Landlords care about rent paid on time, the property looked after, and no trouble with neighbours. A previous landlord is the strongest writer.

[Your Name] | [Address] | [Phone] | [Email]

[Date]

Dear [Landlord's Name],

I provide this reference for [Full Name], who is applying to rent [property address]. I have known [First Name] for [number] years as [your relationship]. [First Name] is a responsible and considerate tenant. [One specific example.] I recommend [First Name] as a tenant without hesitation.

Sincerely, [Your Full Name]

Worked example: landlord reference

Dear Ms. Patel,

I provide this character reference for Amira Khan, who is applying to rent the two-bedroom flat at 8 Willow Court. I have known Amira for five years as her neighbour. She kept her flat in excellent condition and paid rent on time for three years. I recommend Amira as a tenant without hesitation.

Sincerely, James Whitfield

Template 3: Character Reference Letter for School Admission

Schools want character, motivation and behaviour — not grades, which they already have. A teacher, tutor or coach is the best writer.

[Your Name], [Your Role] | [Phone] | [Email]

[Date]

Dear Admissions Committee,

I recommend [Full Name] for admission to [school or programme]. I have known [First Name] for [number] years as [your relationship]. [First Name] is a motivated and curious student. [One specific example.] Beyond academics, [First Name] is honest and respectful. I recommend [him/her] strongly.

Sincerely, [Your Full Name]

Worked example: school admission reference

Dear Admissions Committee,

I recommend Sofia Reyes for admission to the Year 12 programme at Brookfield College. I have known Sofia for three years as her mathematics teacher and supervisor of the school debating club. She ran a peer tutoring group that helped six younger students pass their exams. I recommend her strongly.

Sincerely, Mr. Alan Brooks, Teacher of Mathematics, Riverside High School

Template 4: Character Reference Letter for Immigration

The strongest writer is a citizen or long-term resident describing a real, long-standing relationship. Be strictly factual — do not exaggerate or claim things you have not seen yourself.

[Your Name], [Your Occupation] | [Address] | [Phone] | [Email]

[Date]

To Whom It May Concern,

I support the immigration application of [Full Name]. I have known [First Name] for [number] years, [how you met]. I have observed [First Name]'s honesty, hard work and community spirit. [One specific example.] I believe [First Name] would be a valuable and law-abiding member of our community.

Sincerely, [Your Full Name]

Worked example: immigration reference

To Whom It May Concern,

I support the immigration application of Tomasz Nowak. I have known Tomasz for six years, since he joined our community centre in 2019, where I serve as a trustee. He volunteers there every weekend, helping new arrivals with English. I believe Tomasz would be a valuable and law-abiding member of our community.

Sincerely, Dr. Helen Marsh, Trustee, Riverside Community Centre

A Short Example for Court

A court reference is a formal letter read by a judge. It must be addressed to the court, show the writer understands the offence, and never suggest a sentence. This site has a separate guide on writing one.

Your Honour,

I write as a character reference for [Full Name], appearing before the court on [date]. I have known [First Name] for [number] years as [your relationship], and I understand the seriousness of the matter. [First Name] is a person of good character who has [one honest, specific example]. I respectfully ask the court to take his character into account.

Sincerely, [Your Full Name]

Mistakes That Weaken a Reference Letter

Writing about things you have not seen. Only vouch for what you personally know.

Repeating the same adjective. One specific story beats a paragraph of praise.

Forgetting contact details. A reference with no phone number or email is easy to ignore.

Making it too long. Two pages dilute the message. One page forces you to choose your strongest points.

Using a family member. Family references are expected to be positive, so readers discount them.

Frequently Asked Questions

Who can write a character reference letter?

Anyone who knows you well — a friend, neighbour, teacher, colleague, previous landlord or community leader. The best writer has known you for at least a year and is not a close family member.

How long should a character reference letter be?

One page, or roughly 250 to 350 words — long enough for an introduction, examples and a recommendation, and short enough to finish.

Can I write my own character reference letter?

No — a reference only works if it comes from someone else. You can help your referee with a short note: the deadline, who the letter is for, and two or three examples.

What is the difference between a character reference and a professional reference?

A professional reference comes from an employer and focuses on job performance and attendance. A character reference comes from someone who knows you personally and focuses on honesty and behaviour.

Do character reference letters need to be signed?

Yes, whenever possible. A signature with your printed name, phone and email underneath shows the letter is genuine. For emailed letters, a typed signature block is acceptable.
